Platform Terms & Disclosures

Please read the following before using this platform. This is a quick summary of what this tool is, what it isn't, and your responsibilities as a user.

POLICY VERSION 1.3  ·  EFFECTIVE IMMEDIATELY
📊

1. Data Accuracy & Source Responsibility

This platform works with data you provide — spreadsheet exports from KW Command and your MLS. It is not connected to a live MLS feed and does not pull data automatically.

  • Reconciliation results are only as accurate as the files you upload.
  • You are responsible for ensuring the exports you upload are complete and current.
  • The platform does not verify, guarantee, or certify the accuracy of any transaction data.
  • Always cross-reference with your authoritative source systems before acting on any output.
The platform is a workflow aid, not a source of truth. Final data decisions are yours.

2. Email Sending

Some features allow sending email directly to agents or contacts using credentials you provide (e.g. a Gmail App Password).

  • You are solely responsible for the content of emails sent through this platform.
  • Your email credentials are stored encrypted and are never shared externally.
  • Bulk email features must not be used for spam, harassment, or unsolicited commercial messages.
  • Compliance with CAN-SPAM, anti-spam laws, and KW's communication policies is your responsibility.

🔒

3. Agent Data, Privacy & Sharing

Agent names, contact information, production data, and onboarding records are stored per-organization and are never shared across organizations. They leave the platform only in the ways listed here, and the sharing ones are switched on by your organization — never by default. We do not sell agent data.

  • Coach Updates. Your org admins may set up a weekly email to outside coaches they name (people who do not have a Waypoint account). It contains the figures the admin selects for that coach — company dollar, production, pending deals, listings taken, agents joined and departed with the company dollar associated with them, headcount, recruiting activity, and cap progress — as organization totals. Agent names are included only when an admin turns that on for that coach — the email then also lists who joined or departed (with their prior or new brokerage and the company dollar associated with each) and who is on pace to cap. Each coach is added by an admin who confirms your organization is authorized to share these figures with them, and every email names your organization and says how to stop receiving it.
  • Coach Sync (coaching programs). When enabled for your organization, roster identity information is sent to your coaching program’s system, currently hosted on Airtable, to keep the coach’s roster current: agent name, work email, roster status, your market center, and departure date by default, plus any of personal email, phone, team, office location, start date, and an internal record number if the connection is configured to send them. No production or financial data is sent this way, and an org admin approves each agent before they are added.
  • Email you send. Workflow, reconciliation, and digest emails go to the recipients you or your automation rules choose, through the email account your organization configures — or, if none is configured, the platform’s own sending account (see §2).
  • AI features are covered in §4.
  • Service providers. A small set of providers runs the platform and processes data only to provide their service: DigitalOcean (hosting), Backblaze B2 (encrypted off-site backups), Anthropic (AI features, §4), Google (calendar and sheet integrations you choose to connect), Airtable (Coach Sync, when enabled), and Stripe (billing, when enabled).
  • Access to agent data is limited to authorized users within your organization.
  • Do not enter personally sensitive information beyond what is needed for brokerage management.
  • As an org admin, you are responsible for managing user access and offboarding users promptly when they leave.

4. AI-Assisted Features

Some features use a third-party large-language-model service (Anthropic's Claude API) to interpret your organization's data and generate written analysis. There are four: AI Insights (the AI-written executive summary), Ask Waypoint (the interactive data assistant), and — when enabled — the AI note and optional standing question in your Daily Digest email. The standing question runs automatically on a schedule, using a question you save, with the same data access as Ask Waypoint.

  • What is sent: the data needed to answer the request. Depending on the feature and the question, this can include aggregated figures (counts, totals, trends); named agents and recruits with their production, recruiting, and movement data (including prior/new brokerage, team leader and recruiter names, and recorded reasons for leaving); and free text typed into the platform — at-risk and activity notes, your chat messages, and your saved digest question. Treat notes fields accordingly: anything typed into them may be processed by the AI service.
  • What is never sent: login credentials and passwords, door and printer codes, home addresses, birthdays, and personal contact details (personal emails and phone numbers) are excluded by design.
  • AI output is informational, not authoritative. Responses are generated by an AI model and may be incomplete or wrong. Verify against the source numbers and your official systems before acting; AI output is not legal, financial, tax, or compliance advice.
  • Storage and training. Your requests, the data snapshots behind them, and the AI's responses are stored inside the platform so summaries and conversations can be shown back to you. The AI provider processes data under its commercial API terms and does not use it to train models.
  • Usage is metered and capped per organization. These features are optional: the platform operator can turn them off per organization, and your org admin separately controls the Daily Digest AI note.
AI-generated insights are a starting point for human judgment — always confirm figures and decisions against your authoritative records.
